Getting Started

How do I create my first event?

Click the purple Orb on the homepage and say something like: "Alex, create an event called Summer Fundraiser on June 20th at the Grand Ballroom."

Alex will confirm the details and ask if you want to add a description, a guest count limit, or an RSVP deadline. You can also add these later — just call Alex back anytime.

How does the $5 trial work?

The $5 trial gives you 30 minutes of voice time with Alex, valid for 14 days from activation. When your trial minutes run out, Alex will offer to continue for $24.95 — which brings your total to 300 minutes, good for a full year.

After that, refills are $29.95 for another 300 minutes, also valid for a full year from purchase. No monthly fees, no subscription — ever.

What browsers does Vocatron support?

Any modern browser with WebRTC support: Chrome, Edge, Firefox, Safari (iOS 15+, macOS 12+). We recommend Chrome for the most reliable microphone access.

You'll need to allow microphone access when prompted — the orb won't connect without it.

How do I sign in? I don't see a password field.

Vocatron uses passwordless magic link authentication. Enter your email on the homepage and we'll send you a link. Click the link to sign in instantly — no password needed, ever.

Magic links expire after 15 minutes. If yours expired, just request a new one.

Alex is your hands-free RSVP coordinator. Speak naturally — you don't need exact phrasing. If Alex is unsure what you mean, she'll ask a clarifying question rather than silently guessing.

What if I forget the exact phrase?

You never need exact phrasing. Alex understands natural speech and intent. "How many people are coming?" works just as well as "Get the current RSVP count." If Alex is unsure, she'll ask a clarifying question rather than guessing.

If you ever get stuck, just ask: "Alex, what can you do?"

Does Alex remember our previous conversations?

Yes. Alex retains your event details, preferences, and important context across sessions — so you never have to repeat yourself. If you discussed a venue option last week, Alex will recall it this week.

Voice audio is never recorded or stored. Only the transcribed text of confirmed details is saved, and only when relevant to your events. You can request deletion of your data at any time through the contact form.

Managing Events

How do I add guests to my event?

Three ways, depending on your list size:

  • By voice (under ~15 guests): Tell Alex names and emails one at a time. "Add Sarah Johnson at sarah at example dot com."
  • Upload link (any size): Ask Alex to send you an upload link. Paste your guest list in any format — spreadsheet rows, email threads, whatever you have — and Alex extracts every name and email automatically.

Either way, each guest receives their own personalized invitation email with a QR code, 4-digit PIN, and RSVP link.

Can I add custom questions for my guests to answer?NEW

Yes — you can ask Alex to collect up to 3 custom questions from every attendee during their RSVP. Just tell Alex what you want to know:

  • "Ask my guests if they need parking."
  • "Add a question: which breakout session will they attend — morning or afternoon?"
  • "Ask attendees their t-shirt size."

Alex confirms the questions before saving them. From that point on, every attendee who RSVPs — whether by voice with Alex or via the form — will be asked those questions. Their answers are stored on their RSVP record and visible in your event dashboard.

To update the questions later, just tell Alex the new list: "Replace my questions — only ask about parking now."

How do I send a personal note to one specific guest?NEW

Just tell Alex the guest's name and your message:

  • "Send Sarah a note that she's seated at table 7."
  • "Message John and let him know parking moved to Lot B."
  • "Tell Maria the dress code is business casual."

Alex finds the guest by name on your RSVP list and sends them a personal email from Vocatron. If the name matches more than one guest, Alex will ask you to be more specific. The guest must have an email address on their RSVP record for this to work.

This is different from a blast email — it goes to one person and is written as a direct personal note from you.

Can I edit event details after the event is created?

Yes — just tell Alex what changed. You can update any field at any time:

  • Venue: "Change the venue to the East Wing."
  • Date or time: "Push the date to June 25th." or "Move the start time to 7 PM."
  • Event name: "Rename it to Spring Leadership Dinner."
  • Guest cap: "Raise the guest limit to 120."
  • RSVP deadline: "Set the cutoff to two weeks before the event."
  • Guest notes: "Add to the description: valet parking is available."

Alex confirms the change and saves it instantly. Existing RSVPs and invitations are not affected — only the event record is updated.

How do reminder emails work?

Ask Alex to send reminders: "Nudge everyone who hasn't responded yet." Alex confirms the count of non-responders before sending. Reminders only go to guests with no RSVP response — confirmed guests are never nudged.

You can also schedule reminders for a specific time: "Send reminder emails two days before the event."

Guest Experience

What do guests see when they receive an invitation?

Guests receive a personalized email with the event name, date, venue, and three ways to RSVP:

  • A personal RSVP link that opens their dedicated RSVP page
  • A QR code for event-day check-in
  • A 4-digit voice PIN for check-in at the door

The RSVP link is their personal magic link — it identifies them automatically so they never need to create an account or remember a password.

What is the attendee RSVP experience — do they have to use voice?

No — voice is optional for attendees. When a guest opens their RSVP link, they see:

  • Quick one-tap buttons: Attending, Maybe, and Can't Make It appear immediately — one tap and their RSVP is confirmed in under a second, with a confirmation email sent automatically.
  • Optional: Talk to Alex. After tapping a button, a prompt invites them to speak with Alex if they want to add dietary restrictions, adjust their guest count, answer custom questions, or ask anything about the event. This is completely optional.
  • Fallback form: Guests who prefer to type everything can expand the form and fill in all fields manually. If custom questions were set by the organizer, those appear as labeled fields in the form.

Guests who aren't comfortable with AI voice can complete their entire RSVP without ever interacting with Alex. The voice option is there for anyone who wants a more conversational, personalized experience.

How does Alex handle custom questions with attendees?

If the organizer has set custom questions, Alex asks each one naturally during the voice RSVP conversation — after collecting the standard response and guest count. For example:

"Got it — attending for two. Quick question from your host: will you need parking?"

Guests who use the form instead of voice will see each custom question as a labeled text field. Either way, the answers land on their RSVP record and are visible to the organizer.

A guest lost their invitation email. Can they still RSVP?

Yes. You can share the general event RSVP link with them — ask Alex: "Give me the RSVP link for the Summer Fundraiser." Without the personal token, the form won't pre-fill their name and email, but they can still type their details and submit.

Can an attendee change their RSVP after submitting?

Yes — they can click their original invitation link at any time to update their response, guest count, or dietary information. The RSVP page recognizes them automatically from the link.

If they've lost the link, ask Alex to send it to them again: "Resend the invitation to Maria."

Event Day Check-In

How does check-in work?

Ask Alex for the check-in dashboard: "Alex, I need the check-in link for the fundraiser." You'll receive a secure link by email. Open it on any phone, tablet, or laptop — no app download needed. Your staff sees three methods:

  • QR scan: Tap the scan button, point the camera at the guest's QR code from their invitation email. Instant check-in.
  • PIN code: Guest speaks or types their 4-digit PIN. Enter it on the keypad.
  • Name search: Type the guest's name to find and check them in manually — always available as a fallback.

If you set up a digital signature waiver, guests sign on-screen before check-in is marked complete.

Can my staff access the check-in dashboard?

Yes. Tell Alex: "Send the check-in link to my coordinator Maria at maria@example.com." Alex emails her the secure link. Staff do not need a Vocatron account — the link is all they need, and it works on any device.

You can also schedule it: "Send the check-in link to Maria 30 minutes before the event."

Billing and Account

What happens when my minutes run out?

Alex will let you know during the session and offer to top you up immediately — no browser, no checkout page. Just say yes and the charge is processed on your saved card in seconds.

  • Trial exhausted: $24.95 to unlock 270 more minutes (300 total, 1 year validity)
  • Full plan exhausted: $29.95 to add another 300 minutes, valid for 1 year from purchase

You can also ask anytime: "How many minutes do I have left?" or "I need more time — top me up."

Do minutes roll over?

Minutes are valid for one year from the date of each purchase. Trial minutes (30) expire after 14 days. Paid plan minutes (300 per bucket) last a full year. You can purchase additional buckets before the current one runs out — they stack, nothing is lost.

Can I get a refund?

Refunds are available within 72 hours of purchase, provided fewer than 5 minutes of your trial (or 15 minutes of a paid plan) have been used. To request a refund, use the contact form with your account email and purchase date. The team reviews and responds within one business day.

How do I delete my account?

Use the contact form to request account deletion. All personal data, event records, and RSVP responses associated with your account will be permanently deleted within 30 days. Guest check-in data from past events is retained for 12 months in case attendees need records, then permanently purged.
